The Admin Circle has the following policy for conducting asynchronous meetings on Discourse:
- At any time, a member of the circle may bring forward an agenda item by posting a topic in the Admin Circle category.
- An agenda item is one of "Understanding a report", "Exploring an issue", or "Making a decision". (see Many Voices One Song)
- When we are able to have another meeting, either asyncronously or synchronously, we can make an agenda with topics that have not yet been completed.
- If the Admin Circle decides to hold an asynchronous meeting, the circle also decides which open proposals should be discussed during that meeting.
- It is the facilitator’s job to make sure everyone responds once, synthesize responses, and conduct additional rounds as needed for each proposal to be discussed.
- At the end of the asynchronous meeting period, the secretary will summarize all completed agenda items and notes about which ones are still in progress in a minute to share with the rest of the organization.
